Campaign Privacy Notice

Private by default. Shared only by choice.

Who manages campaign information

ModiMinds operates the Companion and Impact platform for this campaign. Total Fusion is the campaign organisation. Total Fusion normally receives aggregate campaign reporting rather than individual participant records. ModiMinds may grant a named Total Fusion representative a restricted Community Spotlight Publisher role. That role can see and moderate only content participants explicitly selected for possible publication.

What we collect

For ordinary Companion participation, we collect a random campaign participant identifier; campaign source and location labels; optional member status; wellbeing action category and option; optional steps, kilometres and active minutes; optional ME.YOU.US. starting and end scores; sharing choices; and consent and moderation records. Written reflections, private Journal entries and private “Other” notes remain only in the participant’s browser unless the participant deliberately selects “Share this takeaway anonymously with ModiMinds” for a ModiMinds session reflection. An anonymously shared takeaway is stored with its session, action category and campaign attribution, but without a name, contact details, Pulse scores, Journal history or Companion identifier. It is not approved for public publication. A nickname and My Why also remain on the participant’s device unless the participant separately selects them for Community Spotlight. Standard hosting and security logs may contain technical information such as browser, device and IP information.

Activation registration information

If you register for the Lions Den Ultra, Reset & Refresh or Me. You. Us., ModiMinds separately collects your name, phone number, email address, selected activation, optional Total Fusion membership status, consent choices and campaign source. Lions Den Ultra registration also includes your run/walk preference, intended duration, optional donation intention, number of additional attendees and minors, and callback choice. Authorised ModiMinds and Total Fusion event staff may use that named record to operate the selected activation and provide essential updates. Optional event reminders, campaign updates and motivation are sent only when separately selected.

What we deliberately do not request

We do not request a legal name, email address or phone number for ordinary Companion participation. We do not request a date of birth, home address, GPS location, diagnosis, medical history or clinical record in either workflow. Each additional adult should complete their own registration; do not enter another adult’s contact details or private medical information.

Why we use it

Information is used to operate the campaign, estimate participation and repeat engagement, calculate aggregate movement and action totals, compare anonymous ME.YOU.US. starting and end scores, understand source attribution, review participant-shared anonymous takeaways, moderate content separately approved for Community Spotlight, display community impact and prepare stakeholder reporting. It is not used to diagnose, assess, monitor or treat an individual’s mental health.

Community Spotlight

Nickname, My Why and aggregate progress stay off the campaign database and public display unless the participant separately selects the relevant sharing option. Selected content is sent to an authorised campaign moderator. The moderator may publish, decline or later remove it; nothing appears publicly before that decision. Moderators do not receive unselected nickname or My Why content. Public wellbeing results otherwise remain aggregate.

Separate records and Total Fusion workflows

Named activation registration records are logically separate from the random identifier used for Companion actions, Pulse scores and campaign engagement. The platform does not attach a participant’s name, phone or email to individual wellbeing actions or private Journal writing. Guest passes, membership enquiries, competitions and other marketing contact remain separately labelled workflows. ModiMinds does not send a participant’s nickname, My Why or wellbeing activity into those workflows.

Children and young people

Privacy rights apply regardless of age. A young person must understand the choice they are making to provide valid consent. Participants under 16 should use the experience with a parent, guardian or responsible adult and should not submit My Why or opt into Community Spotlight without that support.

Storage, access and security

Campaign information is stored using access-controlled hosting and database services. Public pages can access aggregate results and moderator-published Community Spotlight items only. Anonymous takeaways shared specifically with ModiMinds are visible only in the ModiMinds owner dashboard and are not automatically available to Total Fusion dashboard viewers or Spotlight publishers. ModiMinds controls administrator access. Named registration records are restricted to authorised people who need them for event operations or consented follow-up; aggregate dashboard access does not automatically include contact details. Service providers may process information in Australia or overseas; ModiMinds will maintain current provider and location details as part of its launch documentation.

Retention

Pseudonymous participant profiles and action records will be retained for campaign delivery and reporting and then deleted or de-identified when no longer needed. The working campaign retention period is no longer than 12 months after the final stakeholder report unless a shorter period is agreed or law requires otherwise. De-identified aggregate reporting may be retained.

Your choices, access and deletion

You may use the Companion without registering for the event and without publicly sharing nickname, My Why or progress. You can withdraw optional updates, withdraw public-sharing consent or request access, correction or deletion by emailing kyle@modiminds.com.au. For a registration request, include the email address used to register. For an anonymous profile, include your campaign nickname and approximate joining date where possible.

Questions and complaints

Send privacy questions or complaints to kyle@modiminds.com.au. ModiMinds will acknowledge and investigate a privacy complaint and aim to respond within 30 days. If unresolved, you may contact the Office of the Australian Information Commissioner.
